Thesis & Dissertation Information Walk-Through

Montgomery Library's guide to the ProQuest ETD Admin Tool

ETD Walk-Through

A step-by-step guide to how to publish and order theses or dissertations through ProQuest ETD Administrator.

To begin, the student will access the following website:

https://www.etdadmin.com/campbellsville

Upon loading the page, the student will click the orange button that states, "Sign Up and get started today!"

From there, the student will be prompted to create an account. After verifying the account, the student will then be prompted to submit a thesis/dissertation.

The submission process usually takes no more than 30 minutes to complete. There will be a few items the students need on hand to be able to successfully submit their thesis:

  • A PDF copy of your dissertation/thesis. This must be a single file. If your manuscript is in Word or RTF format, we can convert it into a PDF.
  • Abstract
  • Optional Supplementary files (images, data, etc.) that are an integral part of the dissertation/thesis, but not part of the full text.
  • Advisor and other Committee Members' Names
  • Subject Categories - 1 - 3 that best describe your dissertation/thesis subject area. The subject list can be found at at this link: ProQuest Subject Categories

The next step for a student is choosing which type of publishing they desire for their thesis/dissertation.

The first option, Traditional Publishing, allows for the work to be widely available and be eligible to receive royalties based on the sale of the work. This option does not have an additional charge for publication.

The second option, Open Access Publishing PLUS, allows for the broadest possible dissemination of work and provides free global access to the electronic copy. This option will not allow the student the ability to receive royalties and also requires a $95 fee to ProQuest for publication.

Regardless which option the student picks, their thesis/dissertation will be available through  ProQuest Dissertations & ThesesiParadigms and Dissertation Express, and that a citation/abstract may appear in some indexes (e.g. SciFinder, MathSciNet, PsycINFO, etc.) and discoverable through Google Scholar. Both options also require the student to accept a publishing agreement with ProQuest and with the Institution Repository (Campbellsville University) for publication.

All publishing agreements are available within the Administrator and should be read before saving and continuing to the next step.

Following the agreements, the student will then be prompted to supply their contact information.

Once the publishing information is completed, the student will then begin to submit details about their thesis.

Within this screen, they will select the primary language of their dissertation/thesis, the title, the abstract, the year the manuscript was completed, the degree date and the degree awarded, the department, and primary subject categories. Within this page, they will also detail their primary advisor's name and the committee members.

Next, the student will upload the PDF of their thesis or dissertation following any supplemental files for their publication. Supplemental files include audio, video, and spreadsheets.

Following uploading all information, the student will have the ability to supply any notes for the Administrator when processing their dissertation/thesis.

Next the student will decide if they would like to apply for copyright for their thesis/dissertation.

This will cost an additional $75 for ProQuest to file it on behalf of the student to the U.S. Copyright Office.

Finally, the student will be able to order physical bound copies of their choice. It is required by the CU Montgomery Library that either the finalized version of the PDF and/or physical hardcover copy (8 1/12 x 11 inch) be delivered to the institution upon approval of submission. Physical copies will be maintained and preserved by the institution within the Montgomery Library.

If the student decides not to purchase any physical copies, they will select "Decline - do not order".

The final step is to submit the order. Although this is the final step, you may be contacted if there are any errors regarding formatting etc.

Thesis and dissertations can be searched virtually at the ProQuest Dissertation and Theses Global database. Generally, it takes between 8-12 weeks before they are available online.
